First aid kit tracking software keeps a live register of every first aid kit in a workplace: what is in each kit, when each item expires, when the kit was last checked and by whom. FirstAidLog is first aid kit tracking software built in Australia for Australian workplaces. Each kit gets a QR label, anyone with a phone can scan it, and every check, restock and incident goes on the record with a date and a name.

It replaces the paper register in a folder, the spreadsheet of expiry dates and the sticker on the lid. It runs in the browser on a phone, tablet or computer, and your data is stored in Sydney.

What FirstAidLog tracks

WhatHow it is tracked
First aid kitsEach kit belongs to a site, with a location, a responsible person and its own inspection frequency, from monthly to yearly
Kit contentsEvery item with its quantity on hand, a minimum quantity and an expiry date. Start from a brand-free template or a blank kit
Expiry datesItem by item. Point the phone camera at a packet and the date is read for you
InspectionsItem-by-item checks with counts, fail reasons, condition checks and a signature, saved as you go. Each one issues a PDF certificate
RestocksShort items go on a What to Bring list for each site, and resupplies become receipts
Defibrillators and fire safetyAEDs and extinguishers are kits too: pads, batteries and service dates each have their own expiry date
Incidents and trainingIncident reports with the notifiable-incident test, and first aiders' certificates with expiry reminders (Compliance plan and up)

How tracking works day to day

  1. Label each kit. Print QR labels from the app on A4 or Avery L7119 and L7124 sheets, or print blank spare labels in batches of up to 2,000 and link each one by scanning it.
  2. Scan to check. Anyone who scans a label with a phone camera sees the kit's contents and last inspection. A signed-in team member taps Inspect, counts what is there and marks anything low, expired, damaged or missing.
  3. Get the certificate. Submitting the inspection makes a PDF certificate with the kit, the inspector, the date and the result. Its QR code opens our verify page, so an auditor can check it with any phone.
  4. Hear about it before it matters. A 7 am email and phone alert names the kits due, expired items and low stock. The email comes at most once a week. Due dates can also go into Google Calendar, the iPhone Calendar or Outlook.
  5. Restock and close the loop. A kit short only on stock reads Needs Resupply. Resupply the items and it reads Fixed, with the kit Ready again.

The rules it keeps records for

Under WHS law every person conducting a business or undertaking must provide adequate first aid equipment, facilities and trained first aiders for the workplace. The model Code of Practice, First aid in the workplace, says to check each kit after it is used, or at least once every 12 months if it has not been used, and to sign and date the kit's contents list.

The law requires the kits, the checks and the records. Software doesn't make a workplace compliant on its own; FirstAidLog is how you keep the records and show them when asked. Check the rules for your state in our state guides.

What it doesn't do

Frequently asked questions

Is FirstAidLog an app I download?

No download is needed. Open app.firstaidlog.com in your phone's browser and add it to your home screen; it opens like an app and can send a morning notification. It also runs on any computer.

Does it work without signal?

An inspection in progress is saved on the phone and sent when it reconnects, so an inspection in a basement is not lost. Incident reports need a connection.

Where is the data stored?

In Sydney. Each organisation's records are kept apart by row-level security and encrypted in transit and at rest, and incident details get a further layer of AES-256 encryption. No photos are stored.

Can I bring across the kits I already track in a spreadsheet?

Yes. Kits, then Import Kits: fill in the template with one row per kit, upload it or paste the rows, and check the preview before anything is saved.

Do the people who check kits need a paid licence?

People who add or change things take a seat. Read-only viewers are free. Anyone can scan a kit's label to see what is in it.

How long does it take to set up?

Adding an organisation, a site and a first kit from a template takes about five minutes. For a large rollout, our multi-site guide walks through labelling and recording kits in one visit.
